The honest costs you should know

Static QR costs: ₹0 to generate (free generators like QRSprint). ₹0 ongoing forever. Total cost of ownership: ₹0.

Dynamic QR costs: ₹500–₹2,000/year per QR on most providers. ₹50–100/QR/year at 100+ volume (bulk dynamic). One-time setup: usually included.

Hidden costs: dynamic QR has provider dependency risk. If the provider raises prices, changes terms, or shuts down, every printed QR can go dark. Static has no such risk.

The myth: "dynamic QR codes do not expire"

Both static and dynamic QRs are technically permanent. The QR pattern is just black-and-white squares; it does not have an expiry mechanism. What can expire is:

  • The destination URL the QR points at (if it 404s, the QR effectively dies).
  • The dynamic-QR provider's redirect server (if they shut down, every dynamic QR on their platform dies).

A static QR pointing to your own domain that you control is the most permanent option. A dynamic QR on a third-party provider is the most fragile.

The myth: "static QR codes are limited in size"

A single static QR can encode up to 4,296 alphanumeric characters or 7,089 numeric digits. That is enough for any URL, any UPI ID with all optional fields, any WiFi credential, and most vCards. The actual limit you hit is scannability: above 1,000 characters the QR pattern becomes very dense and harder to scan on cheap cameras.

For URLs over 200 characters with many query parameters, a dynamic QR (which encodes a short URL like qrsprint.com/r/AB12CD) is genuinely cleaner. But this is a rare edge case for most Indian SMB use.

The myth: "dynamic QR is always better for marketing"

Dynamic is better when you need analytics. For a small shop running a one-off Diwali campaign with a single landing page, static is fine. Save the ₹2,000/year and put it into the campaign budget.

Dynamic earns its cost at three conditions: (1) the destination URL changes during the campaign, (2) you need per-scan analytics for ROI defensibility, or (3) you have multiple campaigns and want to A/B test landing pages without reprinting collateral. If none of those apply, static is the right answer.

When to upgrade from static to dynamic

Three triggers worth watching for.

  • You realise you need analytics. Maybe the campaign got bigger, maybe you joined a programme that requires reporting. Time to switch.
  • Destination URLs are about to change frequently. A restaurant moving from a stable to a daily-changing menu, or a marketing team running multiple landing pages off the same printed asset.
  • Your QR provider proves trustworthy at scale. If you have a print run of 50,000 stickers, the provider needs to be around for 5 years. Choose dynamic providers with a track record and a clean billing history.
